Job Description
The Administrative Assistant is responsible for providing administrative support to the PCB Fab Express division and aiding the sales process as needed.
Job Responsibilities
- Make about 30 outbound calls per day to customers and prospects.
- Answer calls and provide appropriate information to customer inquiries.
- Forward calls to the appropriate individual/department/division.
- Release job orders, send quotes, and follow up to insure a smooth transaction.
- Process customer purchase orders along with all other paperwork needed and prepare order confirmations/invoices to send to customers.
- Process credit card charges and prepare paperwork for Accounting Department.
- Enter and maintain orders/customer data in ProCim database.
- Handle customer service issues as directed by the General Manager.
- Respond/follow-up for customer feedback.
- Fax, email, or mail correspondence as needed.
- Prepare reports for the General Manager as needed.Maintain/monitor net zero account payments.
- Maintain resale certificates and tax procedure.
- Maintain “To Be Shipped” job list and document all missed shipped jobs.
- Send Semi- rejection emails and keep track of all follow ups.
- Interact with managers, co-workers, customers and etc. in a professional manner.
- Be punctual and maintain good attendance.
- Other duties as assigned.
Job Requirements
- Associates degree in related fields or high school diploma, BS preferred.
- 2-3 years experience as Administrative Assistant with data entry responsibilities.
- Ability to type at least 35-45 wpm.
- Excellent written and verbal sales communication skills.
- Good computer skills: Microsoft: Word, Excel, PowerPoint and Outlook.
- Ability to learn new skills and tasks as required, especially order placement software, ProCim and FEMS.
- Must have a professional demeanor and excellent customer service skills with a sense of urgency.
- Strong interest in providing excellent customer service and in aiding the sales process.
- Must be detail-oriented, highly organized, self-motivated, and able to multi-task.
- Ability to perform at the highest level in a fast-paced environment.
